Eight UCR filing mistakes that cost fleets money
Wrong truck count, wrong year, lookalike websites: eight UCR filing slips, why each one costs you, and a quick fix for every one of them.
· 6 min read · Haul10 is not a government site

UCR filing takes about ten minutes, which is exactly why people get it wrong. They rush it, they trust a number they have not looked at, and they pay the first site that comes up in search. None of these slips ends a business. Most cost a few hundred dollars, a phone call or a bad afternoon. Here are eight, from the cheapest mistake to the dearest, and what to do about each.
1. Counting trailers
Trailers are not self-propelled, so they do not count towards your UCR vehicle total. The Plan counts commercial motor vehicles that carry passengers or cargo and weigh 10,001 pounds or more, or haul placarded hazardous materials, or seat more than ten people including the driver. A fleet of 8 tractors and 14 trailers has 8 vehicles for UCR filing, not 22.
Fix: count tractors and straight trucks only.
2. Trusting Auto-Renew blindly
The Plan's Auto-Renew reuses the power-unit count from your latest MCS-150. If that update is two years old, so is the count. You sold three trucks in January but the form still says nine, and you pay for nine.
Fix: open your MCS-150 before the renewal runs. If it is out of date, update it first. Our MCS-150 biennial update deep dive shows how.
3. Registering for the wrong year
From 1 October the year to register for is next year. Paying "2026" in November buys you nothing for 2027. It happens every winter because people see a familiar form and a familiar fee.
Fix: read the year on the payment page before you click through.
4. Paying a lookalike site
Several private companies sell UCR filing. Some are fair, some bury their charge under a screen that looks official. The government fee is the same wherever you pay. Anything on top is a service charge.
Fix: check the address says ucr.gov. If you pay a service, make sure the fee line and the service line are shown separately. We compare the main options in our review of UCR registration services.
5. Not keeping the receipt
No. You are not required to carry any proof of compliance in the vehicle.
Nobody has to carry a UCR credential, so people assume there is nothing to keep. But when a broker asks for evidence, or an insurer audits you, the receipt is the thing. The Plan notes you may keep one if you want it.
Fix: save the PDF to a folder the whole office can find. A phone photo in somebody's camera roll does not count.
6. Using last year's count after a growth spurt
The Plan bases the fee on the fleet you operated, and fleet changes during the year are not reflected until the following year. A carrier that grew from 5 trucks to 9 during 2026 needs to report the bigger fleet for 2027.
Fix: write the count down on the day you file, with the date. It helps if anyone questions it later.
7. Confusing UCR with the MCS-150
They are different. UCR is a yearly fee paid to the UCR Plan. The MCS-150 is a free update to your FMCSA record, due every two years in a month set by your USDOT number. People who think one covers the other end up missing both.
Fix: keep two separate dates on the calendar. A guide to finding your MCS-150 due date takes a minute.
8. Leaving it until 31 December
Past registration periods have closed on 31 December, with enforcement afterwards. If your card is declined, your login fails or the website is slow on the last day, you have no slack. Check the confirmed date at plan.ucr.gov, and read our note on the UCR registration deadline.
Fix: file in November. It costs nothing extra, and it leaves you a few weeks to sort out anything odd, such as a declined card, a login that has stopped working or a count you need to check twice.
A quick cost table
| Mistake | Typical cost | How fast you spot it |
|---|---|---|
| Counting trailers | Extra bracket fee, possibly $100 or more | At filing |
| Auto-Renew with old count | Wrong bracket, up or down | After a year |
| Wrong year | The fee again, plus a late risk | After payment |
| Lookalike site | A service charge you did not plan for | On the receipt |
| No receipt | Time chasing proof | When asked |
Building a routine that avoids all eight
Mistakes cluster around rushing. A routine slows the right steps down. Here is one that takes about twenty minutes and fits any fleet.
- October: open your MCS-150 record. Does the power-unit count match the yard?
- November: count vehicles, write the number down with the date, and file.
- Same day: save the receipt to your shared folder.
- Calendar: set next year's reminder for the first of October.
A short checklist you can paste into your notes:
| Check | Done? |
|---|---|
| Counted power units, not trailers | |
| MCS-150 matches the count | |
| Year on the payment page is correct | |
| Address says ucr.gov | |
| Receipt saved where others can find it |
If you spot an error afterwards
Do not wait. If you realise you paid in the wrong bracket, contact the UCR Plan and describe what happened. Having the receipt, the date and your fleet list to hand makes the conversation shorter. We could not find a self-service route for corrections, so a phone call or message to the Plan is the sensible start.
Why these mistakes survive
Almost every item above is a small, invisible error. A wrong count does not bounce. A lookalike site takes the money and sends a receipt. A wrong year looks fine on the screen. There is no red light, so the error sits quietly until someone asks a question.
That is why the fix is a habit, not a tool. Write the count down. Read the year. Read the address. Save the receipt. Four seconds each, and you have removed most of the risk in UCR filing. If you want a second pair of eyes, our UCR registration service review says what to ask a paid provider, and the 2027 fees post shows where your bracket lines fall.
Frequently asked questions
Why is my UCR bracket wrong?
Usually the vehicle count is wrong. It might include trailers, or come from an old MCS-150 through Auto-Renew. Count your power units and compare.
Can I fix a UCR filing after paying?
We could not find an official self-service correction route. Contact the UCR Plan's helpline, listed on its site, and ask what they can do for your case.
Does UCR filing need a USDOT number?
Yes. Have it ready before you start. If you do not know whether yours is current, run the free USDOT check.
Is a filing service worth it?
If you forget dates, or you look after several carriers, it can be. For one truck and a good calendar, it usually is not.

Check your number first
The free check shows your due dates and what FMCSA has on file. If you then want a named person to handle a filing, the Pro plan does that.
